Litigation Secretary (Senior-Level)

Location: La Jolla (UTC Area), San Diego, CA
Schedule: Full-Time | Hybrid (3 Remote / 2 In-Office)
Hours: Monday - Friday, 8:00 AM - 5:00 PM
Compensation: $85,000 - $114,321 + Comprehensive Benefits

About the Role

A premier international labor and employment law firm is seeking an experienced Litigation Secretary to join our San Diego (UTC/La Jolla) office. This role is critical in supporting attorneys across all phases of litigation and ensuring the delivery of exceptional client service.

We are seeking a highly organized, detail-oriented professional with strong state and federal civil litigation experience, who thrives in a fast-paced environment and demonstrates flexibility and a willingness to learn.

Key Responsibilities

  • Prepare, revise, and finalize legal documents including briefs, pleadings, discovery, and correspondence
  • Format documents and create shells in compliance with state and federal court rules, including California-specific requirements
  • Perform electronic filing (e-filing) in state and federal courts (e.g., PACER/ECF)
  • Maintain and manage litigation calendars and docketing, including deadlines, court dates, and filings
  • Proofread all documents for accuracy, formatting, and completeness prior to filing or distribution
  • Support attorneys throughout the full litigation lifecycle, including discovery processes
  • Schedule depositions, hearings, and coordinate court reporters, videographers, and court clerks
  • Maintain and organize client files within document management systems (e.g., iManage, NetDocuments)
  • Manage attorney calendars using Outlook and calendaring systems such as Milana/CompuLaw
  • Coordinate travel arrangements and process expense reimbursements
  • Review vendor invoices and submit payment requests accurately and timely
  • Enter and revise attorney time entries, ensuring proper use of litigation codes
  • Provide professional and responsive telephone and administrative support

Required Qualifications

  • Minimum of 5+ years of experience as a litigation secretary
  • Strong experience in state and federal civil litigation, including familiarity with California court rules
  • Proven ability to manage docketing and calendaring deadlines
  • Experience supporting attorneys through discovery and all phases of litigation
  • Proficiency with legal tools and systems such as:
    • PACER, ECF
    • LexisNexis
    • Aderant Milana or similar (CompuLaw, Best Authority)
    • Document Management Systems (iManage, NetDocuments)
    • Concur (preferred)
  • Advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Ability to create Tables of Contents and Tables of Authorities
  • Strong attention to detail, proofreading, and organizational skills
  • Demonstrated flexibility, adaptability, and willingness to learn new systems

Preferred Qualifications

  • College degree (not required)
  • Experience in labor & employment law
  • Familiarity with time entry and billing systems

Work Environment

  • Hybrid schedule: 3 remote days / 2 in-office days per week
  • Initial onboarding/training period will be conducted fully onsite
  • Consistent weekly in-office schedule required
